Maerose is a trading name of Virtus Nemeton Ltd, a company registered in England and Wales (company no. 17181232), registered office 24 Dymchurch Avenue, Radcliffe, Manchester, M26 1BB (“Maerose”, “we”, “us”). This policy explains what personal data we collect, why, and how it is handled across the Maerose platform — both for the practitioners who run their business on Maerose, and for the clients who book appointments through a practitioner’s Maerose site.
Who this applies to
Maerose provides a managed booking, operations and website platform to independent aesthetics and wellness practitioners. Two groups of people have data processed under this policy:
- Practitioners — the account holders who sign up to run their business on Maerose.
- Clients — the people who book appointments through a practitioner’s Maerose-hosted website.
What we collect
From practitioners, as part of setting up and running their account:
- Name, email address, business name, location and contact details
- Business content they upload — logos, photographs, price lists, policy documents and qualifications, used to build their website and booking catalogue
- Billing details processed by Stripe, our payment provider (Maerose does not store card numbers)
- If connected, Google account access tokens for sending booking emails via Gmail and syncing appointments to Google Calendar, scoped only to those two functions
From clients booking an appointment with a practitioner:
- Name, email address and phone number
- Appointment preferences and, where relevant to the treatment, information the client chooses to share about their medical history or suitability for a treatment
- Consent confirmations given at the time of booking
Bank transfer details for a booking deposit are only shown to a client after they submit a booking request, and only the minimum clinical information needed to assess suitability for a treatment is collected — never a general medical history.
Why we process this data
- To provide the Maerose platform itself — accounts, websites, bookings and billing
- To let a practitioner communicate with their own clients about appointments (confirmations, reminders, aftercare)
- To calculate and collect subscription payments, including UK VAT
- To keep the platform secure and investigate misuse
- To meet our legal and accounting obligations
Who we share it with
We use a small number of processors to run Maerose, each acting under their own data processing terms:
- Supabase — database, authentication and file storage
- Vercel — application hosting and AI-assisted content drafting
- Stripe — subscription billing and VAT calculation
- Google — Gmail sending and Calendar sync, only where a practitioner has connected their own account
- Resend — transactional email delivery (sign-in links, invitations)
We do not sell personal data, and we do not use it for third-party advertising. A client’s data is visible only to the practitioner they booked with, not to other practitioners on Maerose.
AI-assisted content
Maerose Studio uses an AI model to help draft a practitioner’s website copy from material they upload themselves. It only works from what a practitioner provides and from answers they give during setup; it does not invent prices, qualifications, medical claims or policies, and nothing it produces goes live until the practitioner has reviewed and confirmed it.
How long we keep data
We keep account and booking data for as long as an account is active, and for a reasonable period afterwards to meet accounting, tax and legal obligations. A practitioner can request deletion of their account data, subject to records we are legally required to retain.

Under UK data protection law you have the right to access, correct, or request deletion of your personal data, to object to or restrict certain processing, and to data portability. To exercise any of these rights, contact us using the details below.
Cookies
Maerose uses only the cookies required to keep you securely signed in. We do not use third-party advertising or tracking cookies.
